QuickBooks debit and credit CSV format explained
The four-column layout keeps Credit and Debit separate. Each transaction should normally have a value in one of those columns, not both, and the other cell should stay blank.
Work on a copy, map the required columns, normalize one date and amount format, then review every flagged row before importing.
What usually causes it
- Both Debit and Credit contain values on the same row
- Zeroes are used instead of blank cells
- Money-in and money-out columns are reversed
- Negative signs are mixed into split columns
- The selected account type does not match the transactions
- A total or balance column is mapped as Credit or Debit
The repair sequence

Keep four clear columns
Use Date, Description, Credit and Debit with one transaction per row.

Leave the unused side blank
Avoid putting zero in the opposite Credit or Debit cell.

Check direction
Compare several known payments and deposits against the source statement.

Scan for conflicts
Flag rows with invalid amounts, missing values or suspicious duplicate transactions.
Important limits
This checker validates common file-format conditions. It does not select an accounting account, determine transaction purpose or guarantee that QuickBooks will accept a file. Back up the source and reconcile totals before importing.
